An organisational scenario with a particular client will provide the setting for the practical work.
The Organisation is Asto Villa and the task is described below:
The initial request from AstoVilla
AstoVilla is an, at present, an offshoot of a travel agency, AstoBook. It was set up as an initiative to explore the possibility of generating business for the travel agency by establishing a central referral service for private owners of holiday properties. A reciprocal service is provided for holidaymakers who can make one call and obtain advice about possibilities, suitability and availability. It is hoped that the property owners might be provided with a letting service in the future if the initiative is successful. However as the office is essentially paper based it could not contemplate such a development at the moment and is having problems with its current processes. This is the reason for initiating the database development project.
So far the company has been busy acquiring owners wishing to use the service and establishing the basic business procedures. The key office requirement is, of course, the storage of details of the properties and owners in a way that makes it easy to find them and to pass on information to the potential holiday makers. As the company was first envisaged as a simple mechanism for putting customers in touch with owners no serious attempt has been made to keep details of either satisfied customers or potential customers. It is recognised that this will have to change to be able to advertise and seek properties more effectively.

For these basic reasons they have decided that they must acquire, as soon as possible a database system to enable to manage their property and customer information more effectively. AstoVilla have decided that they will provide a bookings service for owners as soon as possible (as this is likely to improve the recruitment of owners). They have reviewed their plans for the future and have decided that the person to person aspects of their service will be retained. They will continue to operate by talking to customers and offering advice in the office and by telephone. However they are well aware that they will need to provide a web-based service in the future but they would like to launch that initiative backed by strength in their basic operations. You are asked to keep these future developments in mind when you design and develop their system, but they explicitly ask you not to let these considerations hinder a speedy and effective development of the basic system.

AstoVilla Office Procedures
AstoVilla is managed by a Unit Manage and the unit currently employs Holiday Advisors, a Contract Manager and a Business Coordinator. These roles represent primary responsibilities as everybody, including the Unit Manager, helps out with whatever needs to be done during busy periods (mostly as Holiday Advisors).
The Holiday Advisor is responsible for answering the potential holiday makers questions (either in person or by telephone) and providing them with contact details of suitable properties. They record the details of their contacts for use as market information and to be the basis of the contract with the owners.
The Contract Manager is responsible for negotiating the contracts with the property owners and making certain that the property is suitable and that adequate information is available in the office.
The Business Coordinator manages advertising (of the villas on the books and of the services offered by AstoVilla) and the search for owners and properties. They are also responsible for maintaining up-to-date information in the office, particularly availability information.
Job Description of Holiday Advisors
The principle role of a holiday advisor is to give reliable holiday advice as required. They will respond to requests of potential holiday makers when they call to enquire about possible holiday destinations. First they check the requirements, make the necessary searches of the property files and then providing appropriate contact information. The member of staff will familiarise themselves with the characteristics and facilities in the available destinations to be able to provide comprehensive advice.
Property information and regular updates are provided by the Business Coordinator and Holiday Advisors supply a record of their activities (client log) to the Business Coordinator so that their activities can be included in the updates.

The contents of the client log must contain details of the recommendations made and the details of the contacts given. Holiday Advisors should also record as much detail as possible about the client, the type of holiday that they were looking for and how they heard of AstoVilla. Job Description of Contract Managers
Contract managers negotiate the details of the contract AstoVilla has with property owners. They must establish the length of contract (normal minimum is one year although we may agree to complete an initial holiday season), Villa details, proposed price of a booking and the period of availability. It is important to obtain contact details for both AstoVilla and clients (these may be different).
A proforma that lists the information required from owners must be maintained and adopted when negotiating with new owners and whenever the opportunity arises with existing owners.
Contract Managers should seek out new owners by monitoring small ads and other forms of holiday advertising and make contact with potential owners. Suitable methods of advertising the services of AstoVilla should be identified and reviewed at regular intervals. Details are provided to Business Coordinators who coordinate and organise the advertising.
Replies to enquiries from owners should emphasise the personal aspect of the service and will be tailored to the individual contacts. Standard letters and brochures will not be used and where appropriate visits may be made.
Contract Managers will maintain the property details files, issuing updates as necessary.
The Unit Manager will maintain a reference table of booking prices which should be used to guide the agreement reached with owners. The Unit manager should be notified of any indications that the price table should be adjusted to reflect changed market conditions.
Job Description of Business Coordinators
The main role of Business Coordinators is to coordinate and update operational information on a daily basis and to promote the company to both clients and owners. They will extract strategic information as it becomes available to provide the basis of their decision making and to support other company functions.
The primary task is the analysis and coordinated logging of the daily activity logs. Based on properties being selected a list of properties whose availability will www. bechecked with the owners so that the availability details held in the files can be updated. Prior to obtaining confirmation with the owners a 'likely availability' update will be produced. Business Coordinators are responsible for the making the checks with the owners.
Activity / progress digests will be produced for internal updates and distribution from the analysis of the activity logs and from any contacts with owners. Particular requirements are digests concerning:
The degree to which property bookings are taken up, the areas / types of property that remain available, the types of properties and locations etc that are in greatest demand, the questions not answerable from the property files.

Once each year a review of property quality versus price for AstoVilla properties will be compared with alternative comparable properties generally available. Other digests will be generated as the need arises.
